2. Personal Data We Collect 

We collect and process the following categories of personal data: 

  • Identification and contact details: name, email address, phone number. 
  • Booking information: dates, times, location of the tennis club, machine ID, PIN codes issued. 
  • Payment information: payment confirmation and transaction ID. Card details are handled directly by our payment provider (Stripe) and are not stored by us. 
  • Communications: messages you send us, including refund claims and any video evidence you provide. 
  • Technical data: IP address, browser type, and device information collected automatically when you visit our website. 
  • Marketing preferences: your consent status for newsletters and promotional emails. 

3. Purposes and Legal Basis for Processing 

We process your personal data for the following purposes, on the following legal bases under the GDPR: 

  • Performance of contract (Art. 6(1)(b) GDPR): to process your booking, issue PIN codes, deliver the rental service, handle refunds, and provide customer support. 
  • Legal obligation (Art. 6(1)(c) GDPR): to comply with Danish bookkeeping law (Bogføringsloven), tax law, and consumer protection law. 
  • Legitimate interests (Art. 6(1)(f) GDPR): to prevent fraud and misuse of our service, secure our website, and improve our offering. We balance our interests against your rights and only rely on this basis where appropriate. 
  • Consent (Art. 6(1)(a) GDPR): to send you marketing emails and newsletters. You may withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal. 

4. Marketing Emails and Newsletters 

We send marketing emails and newsletters only to customers who have given their prior consent under section 10 of the Danish Marketing Practices Act (Markedsføringsloven). 

You can withdraw your consent at any time by clicking the “unsubscribe” link in any marketing email, or by contacting us at support@ace-it.dk. Unsubscribing from marketing will not affect transactional emails relating to your bookings (such as booking confirmations and refund notifications). 

5. Sharing of Personal Data 

We share your personal data only with the following categories of recipients, and only to the extent necessary: 

  • Stripe (payment processing): our payment provider, which processes payment data on our behalf. Stripe acts as an independent controller for certain processing. See stripe.com/privacy. 
  • Email and hosting providers: who process data on our behalf as data processors under written data processing agreements. 
  • Partner tennis clubs: limited booking information (such as time slot and machine ID) where necessary to coordinate use of the machines on their premises. 
  • Authorities: where we are required to disclose data under applicable law. 

We do not sell your personal data to third parties. 

6. International Transfers 

Some of our service providers (including Stripe) may process data outside the EU/EEA. Where this happens, we ensure that an adequate level of protection is in place, typically through the European Commission’s Standard Contractual Clauses or an adequacy decision. 

7. How Long We Keep Your Data 

We retain personal data only for as long as necessary for the purposes for which it was collected: 

  • Booking and customer account data: for the duration of the customer relationship and up to 3 years after the last booking, to handle complaints and warranty matters. 
  • Accounting records (including invoices and transaction data): 5 years from the end of the financial year, as required by the Danish Bookkeeping Act. 
  • Video evidence submitted for refund claims: up to 12 months after the claim is resolved. 
  • Marketing consent records and related data: until you withdraw your consent, plus a reasonable period to document the withdrawal. 
  • Website technical logs: typically up to 6 months. 

8. Your Rights 

Under the GDPR, you have the right to: 

  • Access the personal data we hold about you. 
  • Rectification of inaccurate or incomplete data. 
  • Erasure of your data in certain circumstances (“right to be forgotten”). 
  • Restriction of processing in certain circumstances. 
  • Object to processing based on our legitimate interests. 
  • Data portability, where processing is based on consent or contract and carried out by automated means. 
  • Withdraw consent at any time, where processing is based on consent. 
  • Lodge a complaint with the Danish Data Protection Agency (Datatilsynet).

9. Cookies and Analytics 

Our website currently uses only cookies that are strictly necessary for the website to function (for example, to keep your booking session active). These cookies do not require your consent under the Danish Cookie Order (Cookiebekendtgørelsen). 

If we introduce analytics or marketing cookies in the future, we will request your prior consent through a cookie banner and update this Privacy Policy accordingly. 

10. Security 

We implement appropriate technical and organizational measures to protect your personal data against unauthorized access, loss, alteration, or disclosure. Payment data is handled directly by Stripe, a PCI DSS-certified provider, and is not stored on our systems.
